Day In The Life:

  • Assists in the initial stages of records evaluation for the department, and taking inventories as appropriate.
  • Ensures compliance with applicable by-laws, policies, and legislation, including the Municipal Act, Municipal Freedom of Information and Protection of Privacy Act, and the Personal Health Information Protection Act while handling records and information for the County.
  • Assists with scanning, classifying, and filing records, both paper and digital, in accordance with County policies and procedures. Ensures proper quality control of final records, including verification of image quality and completeness, the application of standard naming conventions and records templates etc.
  • Assist with file clean-up, legacy records, and other records management projects, as well as the destruction of records in accordance with County policies, as required.
  • Uses Laserfiche, the County’s Electronic Document and Records Management Software programs, to properly file records.
  • Works collaboratively with other departmental staff, students, and staff outside the department, courteously and professionally.

What We Are Looking For:

  • Working toward a Post-Secondary Diploma, Degree, or Certificate in Business Administration, Public Administration, Project Management Library Sciences, Records Management, or related field with a focus on courses on the following topic areas:
    • Records and Information Management Fundamentals
    • Data and Information Governance
    • Document Management Technology
    • Archives
    • Researching & Reporting
  • Advanced knowledge of computer applications and database administration, and proficiency with Microsoft Office suite, with O365 or SharePoint considered an asset.
  • Understanding of metadata, template management, and conformity of records
  • Exceptional communication skills. (both written and verbal)
  • Time management, problem-solving, and analytical skills
  • Basic knowledge of information technology systems, network, and file access controls would be considered adventageous
  • Knowledge of information privacy, accessibility, and legislation including MFIPPA, PHIPA, as they relate to municipally produced records, would be considered advantageous
  • Familiarity with TOMRMS File Classification System (The Ontario Municipal Records Management System) would be considered advantageous
